EVENT GUIDELINES
Please assist the Commercial Property Management Department in evaluating your request to hold an event by providing the following information.
A written request, to be submitted to Landlord at least ten (10) weeks before the event, explaining:
- Event's purpose.
- Sponsors and responsible parties If a party other than a tenant in the center is responsible for the event, Landlord reserves the right to require a larger security deposit.
- Anticipated attendance .
- Date, starting time, and finishing time.
- On a site plan, indicate any common areas to be used, if any.
- Cleaning and restoration plan after event.
Upon review of the request and supporting materials, Landlord will determine whether to approve the event. If the Landlord approves the event, it will issue a conditional approval.
The conditional approval is contingent on all conditions set forth below being fulfilled by event sponsor/tenant. The sponsor/tenant must obtain and provide to the Landlord the following at least four (4) weeks prior to the event:
- Copies of all Required Permits from the local county. If no permits are required, you must submit a letter stating that no permits are required.
- Certificate of Insurance for general liability coverage with a combined single event limit of $1,000,000 , with ( the shopping owner ) and A.J. Dwoskin & Associates, Inc. named as an additional insured party prior to the event.
- $250 refundable security deposit check to A.J. Dwoskin and Associates to ensure that the area is returned to its original condition. The security deposit will be returned upon a satisfactory inspection after the event.
- A flyer informing the other tenants in the center of the event MUST be submitted to the main office for approval. (The approved flyer must be distributed to all tenants at least 10 days prior to the event.)
- Copies of all promotional materials.
- Counter-signed agreement letter issued by the Landlord for the conditional approval. Sponsor/Tenant will provide a full indemnification to Landlord for any and all damage or injuries in connection with the event.
The preceding are Landlord's conditions for final approval of the event. The final approval of A.J. Dwoskin & Associates, Inc., which may be withheld in our absolute discretion, is always required. No event may proceed without such approval. If tenant fails to provide the required materials to Landlord by the deadline set forth above, Landlord's conditional approval is automatically withdrawn and void.
Please also note the following:
- The event, setup, and cleanup shall not impede traffic within the shopping center.
- The parking field must be left in a clean condition.
- Customer parking, drive lanes and ingress/egress lanes may not be blocked. In no event shall a designated Fire Lane ever be blocked or used for an event.
- The event holder must provide barricades in the shopping center parking field to protect the landscaping.
- The event holder is held responsible for all associated fees necessary for the event.
Please be aware that your submitted request will be considered based on the availability of the center and its impact on the tenants of the center.
Please provide a site plan to pinpoint where in the center you intend to have the event and where any barricades required for this event will be placed, and fax it along with the required information to A.J. Dwoskin & Associates, ATTN: Commercial Property Management, at 703/273-7348.
